Hi Josh, 

It was such a pleasure to meet you today and learn more about the project! Attached are some visuals I made to help communicate the office area. Perhaps a bit of overkill but I want you to have a good idea. I'll also snap some pics on Saturday and send them to you as well, since that will the best way to communicate the space to you.

Two things to keep in mind as you think through the work environment: the afternoon sun comes directly into our front windows and can be pretty harsh, but we do have window blinds that are put to good use; the diagrams I made perhaps make the office seem cramped, and while it's certainly not generously spacious, there is room to include a second, separate desk if needed; the Public Wall is currently a bit flat although I can completely appreciate that budgets are always restrictive. Fortunately, I am a hobby woodworker so I have some ideas to spruce this area up on the cheap, assuming I'll receive BOD approval.

Here is a link to the desk we have. FCG has the corner piece and two extensions that can be attached on either side to create either a boomerang shape, or all extensions attached on one side to create a very long desk. https://fliphtml5.com/dzai/xtng/basic

Dear Teresa,
I agree, it was a total pleasure (and a relief!) to meet you as well.
Thank you for the floor plan and description. The public wall / library will be perfect for displaying any products of the work, and I think that this floor plan will do well for the purposes of the contract. The actual process of sharing the workspace is something you will need to work out with the employee.
Looking forward to those figures so I can draw up a salary plan. But no rush.

Hi Josh, 

The living wage for London this year is $16.20/hour, and based on positions similar to this one I think a wage of $20-$22/hour makes sense. 

The monthly wage for 20 hours of work per week rate depends on weeks of vacation. 

2 weeks of vacation: $1666/month @ $20/hour
2 weeks of vacation: $1833/month @ $22/hour

4 weeks of vacation: $1600 @ $20/hour
4 weeks of vacation: $1760 @ $22/hour

I would be inclined to offer a rate higher than $20 for the reason that you will be privately paying this person's salary so according to the CRA this person will be considered 'independently employed' and will owe all of their taxes at tax time. When I worked as an assistant in Toronto this was my experience with CRA. You may have already considered this point, but I think it's something to consider. 

I hope this gives you a starting point in terms of remuneration.

Hi Teresa, 
Thanks so much for sending this over, and sorry for my delayed response. Time just stretches out these days.
Did you maybe get a chance to check on the insurance policy and the incorporation status of the gallery? Having that information would help me to fill in the remaining information on the contract.
I think that the call is also ready, so please let me know if you have any questions, comments or concerns about that document.
If it's still possible to circulate it next week, we can maybe postpone “signing” the contract until Monday the 11, if both you and Matt are available to meet online. If we find a time, I could email each of you the final copy of the contract, and we could each sign it together online, with Matt witnessing, and then scan and circulate signed copies until we have 3 triplicates?
Once the contract is signed, then we should also go about circulating the call (which makes me excited / nervous to the extreme!)

Hi Josh, 

I had to make a couple of phone calls and do a bit of digging to find our insurance policy because the carrier listed in FCG's manual is out of date and therefore not searchable without the proper name, so I do appreciate your patience. I've attached a copy of our liability insurance. As an organization with staff FCG is also responsible for paying employee premiums to the Workplace Saftey and Insurance Board of Ontario (WSIB)

FCG's status is as a Canadian non-profit charity. Here is our registered name and charitable number:

I think the current version of the call looks good, and I see your father has given it a read-through as well, which is great! I also think what you've outlined in terms of next steps sounds good. I'm free on Monday, May 11th at 9am if that works for you both. 

I have a newsletter for the gallery that I'll circulate on Monday—would you like me to introduce/link to the call for the position here? If so, would you like to write a brief project description (150-200 words) or would you prefer that I write it? Let me know.

Quickly—I failed to mention—the attached insurance policy is outdated, but the content is still the same. I've requested a certificate of liability wherein you're listed as the certificate holder. I thought this might be good to have in general, and that it's a document you might want for the project archive. I'll forward it to you as soon as I receive it.

Dear Teresa,
Thank you so much for your time and attention to following up to these questions. The certificate of liability would be a beautiful document to include in the project archive. I am glad you approve of the Call. Also, yes, I am also grateful that my Dad looked over the call draft, just to make sure it is coherent with the contracts. I feel good about the call. My only remaining concern is the date of June 15 for the commencement of employment, but I think it’s possible for the employee to begin work from home, if necessary, or to add a bit of contingency to it, to say that the employment start is contingent on the dates projected for reopening.
Monday at 9am your time is perfect for me to sign the contract!
I will also try to prepare a short description of the project to accompany your newsletter posting. It would be extremely helpful to have a link to the call circulated by your newsletter.

I hope you had a good weekend.
I finalized the call for applicants, and also prepared a short text for the newsletter. The contract is nearly complete. I need clarification from you on one aspect, and need to also hear back from my dad about another.
I also haven't heard back from Matt that he is available this morning, and I'm a bit reluctant to sign the contract without him -- I think he would be disappointed.
It would also be unwise to proceed with circulating the call for applicants without signing the contract first.
I am available for the rest of the day, and tomorrow as well.
If you wouldn't mind either circulating the call in a separate bulletin, or possibly if you have a later time today when you might be available, we could proceed later today.
